Position Purpose:
The Safety Coordinator provides administrative support for all safety and compliance functions across the fleet. This position maintains safety records, processes documentation, supports regulatory compliance, and assists the Safety & DOT Manager with day-to-day operational tasks.
Essential Responsibilities:
Driver Qualification File Management:
• Audit driver qualification files for DOT compliance
• Identify missing or expired documentation
• Audit medical certifications and CDL license endorsements
• Respond to employment verification requests from other carriers
• Maintain organized filing systems for all driver records
Claims Administration:
• Log and track all claims in company systems
• Update McLeod Safety Module with claim information
• Maintain Claims Tracker with current status
• Organize and file all claims documentation
• Track claim deadlines and notify Safety Manager
Accident Documentation:
• Compile accident documentation including statements, photos, and reports
• Pull and preserve dashcam footage from Motive system
• Update McLeod with complete accident details
• Maintain DOT-required accident register
• Support Safety Manager with accident response
Equipment Damage Tracking:
• Document equipment damage incidents with shop
• Track repair costs and prepare driver charge documentation
• Submit damage charges to accounting for processing
• Maintain equipment damage database and recovery tracking
Motive Software Administration:
• Manage Motive tablet inventory and assignments
• Troubleshoot tablet issues and coordinate replacements
• Support drivers with basic Motive app questions
• Retrieve dashcam footage as needed
System Maintenance & Record-Keeping:
• Daily data entry in McLeod Safety Module
• Scan and organize all safety documentation
• Ensure records are accessible and audit-ready
• Generate reports as requested
Compliance Support:
• Support regulatory filings and registration coordination
• Assist with drug and alcohol program administration (joint with dispatch)
• Maintain compliance documentation
• Track deadlines and provide administrative support to Safety Manager
Other duties as assigned.
Qualifications:
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Excellent written and verbal communication
- Ability to manage multiple priorities and meet deadlines
- Self-starter who works independently and escalates appropriately
- Professional demeanor with internal and external contacts
- Understanding of DOT/FMCSA regulations
- Experience with transportation management systems (McLeod, Motive, etc.)
- Prior experience in trucking or logistics

- Physical tasks:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to work remotely & after hours as needed.
- Must be able to type 40 words per minute.
- Must have good eyesight, correctable to 20/20.
- Must be able to lift 15 pounds at times & walk the floor to help staff.
